This Privacy Policy (“Privacy Policy”) is attached to and made a part of the Membership Terms and Conditions (“Membership”). Capitalized terms used but not otherwise defined herein have the meanings set forth in the Membership Terms and Conditions.

1. General

This Privacy Policy explains under what circumstances Rolly Table, LLC (dba Cohesion Coworking) (“Cohesion,” “we,” “us,” or “our”) collects information in connection with access to Cohesion coworking facilities (the “Facility”), use of Cohesion services (the “Services”), and use of the Cohesion website (the “Website”), how such information is used, and who may access it.

This Privacy Policy applies to all members, guests, visitors, and other individuals who access the Facility, Services, or Website (“you” or “your”).

2. Use Is Acceptance

YOUR USE OF THE FACILITY, SERVICES, OR WEBSITE CONSTITUTES YOUR UNCONDITIONAL ACCEPTANCE OF THE PRACTICES DESCRIBED IN THIS PRIVACY POLICY. IF YOU DO NOT AGREE WITH THIS PRIVACY POLICY, DO NOT USE THE FACILITY, SERVICES, OR WEBSITE AND DO NOT PROVIDE PERSONAL INFORMATION TO COHESION.

3. Revisions

This Privacy Policy may be revised from time to time. Notice of revisions may be provided via the email address on file in the Membership Portal. Your continued use of the Facility, Services, or Website following notice (or attempted notice) of changes constitutes acceptance of the revised Privacy Policy.

4. Consent to Collection and Use

By submitting information through the Membership Portal, Website, or otherwise providing information to Cohesion, you consent to the collection, use, and disclosure of such information as described in this Privacy Policy.

5. Collection of Personal Information

We may collect and store information submitted through the Membership Portal or otherwise provided in connection with your Membership, access to the Facility, or use of Services. This information may be transmitted over third-party telecommunications networks and stored on third-party systems.

“Personal Information” may include, without limitation:

  • Name
  • Address
  • Email address
  • Phone number
  • Employer or business name
  • Payment and billing information

You may also disclose business or personal information while using Cohesion’s networks or equipment. Such information may be stored or cached on Cohesion systems in the ordinary course of providing Services.

6. SMS Opt-In and Messaging

Cohesion Coworking collects phone numbers through our website forms only when a user provides express consent.

  • Consent: By providing your mobile number and checking the opt-in box, you consent to receive automated transactional and promotional text messages from us. Opt-in is specific to the user and is not a condition of any purchase.
  • Data Collection: We collect your phone number and opt-in status solely for the purpose of communicating the specific updates you requested.
  • Third-Party Sharing: Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. This excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties.

7. Our Use and Sharing of Personal Information

We use Personal Information as reasonably necessary to provide Services and operate the Facility, including without limitation:

  • Billing and payment processing
  • Authentication and identification
  • Managing memberships and reservations
  • Enforcing Membership Terms and Conditions
  • Facility security, access administration, guest management, and investigation of incidents or potential breaches
  • Protecting Cohesion’s business, systems, and members

We may contact you regarding your Membership, Services, or Facility operations.

We do not sell or lease Personal Information. We may disclose necessary portions of Personal Information:

  • To payment processors and financial institutions
  • To service providers supporting operations, security, hosting, or technical systems
  • To comply with law, subpoena, court order, or legal process
  • To law enforcement or authorities in emergencies or investigations
  • To protect Cohesion’s rights, property, or safety

Aggregated, non-identifiable information may be shared for analytics or reporting purposes.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

8. Access by Other Parties

Anyone with access to your account credentials may access your Personal Information. You are responsible for safeguarding login credentials. Cohesion is not responsible for information you voluntarily disclose in shared or public areas.

9. Security

Cohesion uses commercially reasonable administrative, technical, and physical safeguards to protect Personal Information. Payment processing uses SSL encryption. However, no system can guarantee absolute security, and Cohesion cannot warrant complete protection against unauthorized access.

10. Email Communications

Cohesion may send emails related to Membership, Services, events, or operations. Marketing emails will include an unsubscribe option. Membership-related communications are not subject to unsubscribe.

11. Technological Measures

The Website may use cookies and similar technologies to enhance functionality, analyze usage, and improve Services. Server logs may collect non-identifiable information such as IP address, browser type, and access times. This information is not linked to Personal Information.

12. Facility Security; Access Cards; Guest Logs; CCTV

To maintain safety and security, Cohesion may use physical and electronic security measures, including:

  • Electronic access cards, key fobs, or access codes and related access logs
  • Guest sign-in logs and visitor records
  • Video surveillance (CCTV) in appropriate areas

Access logs may record dates and times of entry or exit. Guest logs may include guest name, visit time, and host Member.

CCTV is used for security and safety purposes only. Cohesion does not intentionally place cameras in restrooms or other areas where a reasonable expectation of privacy exists. Security recordings and logs are accessed only by authorized personnel and retained for a commercially reasonable period unless required for investigations, insurance matters, or legal compliance.

Security data is not sold or leased and is disclosed only as permitted by this Privacy Policy.

13. Use of Third-Party Websites

The Website may link to third-party websites not controlled by Cohesion. This Privacy Policy does not apply to those sites. Cohesion is not responsible for third-party privacy practices.

14. Accessing and Changing Personal Information

You may update Personal Information through your Membership account or by contacting Cohesion. After Membership expiration, Personal Information may be removed upon request, subject to legal, contractual, or operational requirements.

15. Children’s Privacy

The Facility, Services, and Website are intended for individuals eighteen (18) years of age or older. Cohesion does not knowingly collect Personal Information from minors.

16. Consent to Use Likeness

You acknowledge that you or your employees may be photographed, filmed, or recorded incidentally while at the Facility or during events. You grant Cohesion the right to use such images or recordings for promotional or publicity purposes.

For clarity, security-related recordings (including CCTV) are collected and used primarily for safety and security purposes and are not intended for marketing or publicity use.
